Booking Terms & Conditions – ID PE & Sport Limited

These Booking Terms & Conditions (“Terms”) apply to all holiday camps, after-school clubs, and coaching services (“Activities”) delivered by ID PE & Sport Limited (“we”, “us”, “our”) in the United Kingdom. By completing a booking, you (“you”, “parent/guardian”, “customer”) accept these Terms.

1. Bookings & Payments

1.1. Bookings must be made via our online booking system (classforkids)

1.2. Full payment is required at the time of booking unless using book now, pay later or childcare vouchers.

1.3. When using book now, pay later full payment must be made before the first session.

1.4. Discounts, childcare voucher payments, tax-free childcare, or promotional codes must be applied at the time of booking and cannot be added retrospectively.

1.5. We reserve the right to refuse participation if fees remain unpaid before an Activity begins.

2. Cancellations, Refunds & Amendments

2.1 Customer cancellations

More than 5 days before the Activity start date: full refund or credit note.

Less than 5 days: non-refundable unless exceptional circumstances apply (at our discretion).

Bookings made using childcare vouchers or Tax-Free Childcare may only be refunded as a credit note, in line with HMRC rules.

2.2 Changes to bookings

We will try to accommodate date or session changes where possible but cannot guarantee availability.

2.3 Company cancellations

If we cancel an Activity (e.g., due to low enrolment, staff shortages, or venue issues), you will receive a full refund or credit note.

2.4 Circumstances beyond our control

Events outside our control such as extreme weather, venue closures, public health restrictions, or emergencies may result in a session being altered or postponed. Refunds may not be offered in these situations, but we will provide an alternative where feasible.

3. Behaviour & Code of Conduct

3.1. Participants must behave respectfully toward staff, peers, and facilities.

3.2. We reserve the right to remove a participant whose behaviour is unsafe, abusive, or persistently disruptive.

3.3. No refund is provided for removal due to misconduct.

3.4. Parents/guardians may be asked to collect their child immediately if behaviour jeopardises safety.

4. Health, Safety & Medical Information

4.1. Parents/guardians must provide accurate and up-to-date medical and behavioural information during booking. EHCP and IBP’s must be provided as part of the booking.

4.2. We may contact you to discuss whether the Activity is appropriate and what reasonable adjustments can be made.

4.3. All medication must be labelled and handed to staff each day with written instructions.

4.4. Participants must attend with suitable sports clothing, footwear, and any required protective equipment.

4.5. We follow the latest UK safeguarding, health & safety, and first aid regulations, including the relevant national governing body guidelines for each sport.

5. Injury, Liability & Insurance

5.1. All Activities involve a level of physical exertion and inherent risk. We are not liable for accidental injury unless caused by our negligence.

5.2. We cannot accept responsibility for personal items brought to sessions.

5.3. We maintain appropriate Public Liability and Employer’s Liability insurance in line with UK legal requirements.

6. Late Collection

6.1. Parents/guardians must collect participants promptly at the published finish time.

6.2. Repeated late collection or collections more than 15 minutes late may incur an additional fee of £10.00 per 15 minutes.

6.3. Persistent lateness may result in the child being unable to attend future sessions.

7. Photography, Media & Marketing

7.1. We sometimes take photographs or video clips for marketing, social media, training, and promotional materials.

7.2. Consent for this is requested during the booking process.

7.3. You may withdraw consent at any time by contacting us in writing.

8. Data Protection (UK GDPR)

8.1. We process personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

8.2. Information is used solely for administering bookings, safeguarding, health & safety, compliance, and customer communication.

8.3. Our full Privacy Policy is available upon request.

9. Safeguarding

9.1. We operate under a robust Safeguarding Policy in accordance with Keeping Children Safe in Education (KCSIE), NSPCC guidance, and relevant sport governing bodies.

9.2. All coaches and staff undergo enhanced DBS checks and safeguarding training.

9.3. We follow established procedures for the reporting and management of welfare concerns.

10. Complaints Procedure

10.1. If you are unhappy with any part of our service, please raise your concern with us as soon as possible.

10.2. We aim to resolve complaints promptly and fairly.

10.3. Formal complaints should be submitted in writing within 3 days of the issue or event.

11. Changes to These Terms

We may update these Terms occasionally. The Terms in effect at the time of booking apply to that booking.
